In collaboration with the Managing Director's and the General Manager's administrative guidance, the job objective would be related to the preparation and dispatch of import and export documentation for new shipping contracts. This involves sending necessary documentation to suppliers, clients, and shipping agents, adhering to the company's Standard Operating Procedures as detailed in ISO 9001 documentation.Duties and Responsibilities:
Your duties and responsibilities will include but are not limited to:
- Generate new contracts using the Contract Application
- Coordinate and arrange vessel bookings with shipping lines for the transportation of goods
- Establish Import Letter of Credits
- Provide Export Letter of Credit guidelines to clients, negotiating documentation in alignment with the Export L/C
- Communicate with clients, suppliers, and freight companies via phone and email
- Issue EDN for export clearance from Australia and Shippers Letter of Instruction/Forwarding Instructions for the shipping agent
- Issue M041 for the shipment of hazardous cargo from Australia
- Check all received copy and original documents (invoice, packing list, Certificate of Analysis/Mills Test Certificate) from the supplier for compliance with the Purchase contract and specifications, including tolerance in shipped amounts
- Address and resolve discrepancies with the supplier, obtaining approval from the respective Trade Assistant/Trader when necessary, following Work Instructions
- Collaborate with other team members in the Logistics Department to address issues related to the Contract Application
- Perform Adobe conversion of documents
- Order stationery and office supplies
- Answer phones
- Work collaboratively within the team to assist with general administration duties, including but not limited to answering incoming calls, opening mail, and distributing incoming correspondence, along with other duties as required.

To be successful in this position you will have:
- Prior 3-5 years' experience in export documentation and logistics knowledge
- Proficient understanding and expertise in all facets of international trading and INCOTERMS terms
- Hands-on experience in comprehensive import/export administration and documentation
- Exceptional attention to detail and accuracy
- Outstanding communication skills, both written and verbal
- Computer literacy, particularly in Microsoft Office, with a focus on Outlook, Word, and Excel
