- Provide high-level administrative support to the Executive Director and Board of Directors, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Assist in the preparation of Board papers, agendas, and minutes for meetings, ensuring accuracy and compliance with governance requirements.
- Act as a liaison between the Executive Director, Board members, staff, and external stakeholders, handling inquiries and requests in a timely and professional manner.
- Manage confidential and sensitive information with discretion and integrity, maintaining the highest standards of confidentiality and professionalism.
- Assist in the coordination of events, conferences, and special projects as required, including logistical arrangements and communication with participants.
- Undertake research, analysis, and drafting of documents as directed by the Executive Director, contributing to the effective functioning of the organisation.
- Previous experience in an executive support role, providing administrative assistance to senior executives or board members, preferably within a not-for-profit or similar environment.
- Excellent organisational and time management skills, with the ability to prioritise tasks, meet deadlines, and manage multiple competing priorities effectively.
- Strong communication skills, both written and verbal, with the ability to interact confidently and professionally with internal and external stakeholders.
- Proactive and adaptable approach, with the ability to anticipate needs, identify solutions, and take initiative to support the Executive Director and Board effectively.
- High level of attention to detail and accuracy, with the ability to produce high-quality work under pressure and maintain confidentiality at all times.
- Proficiency in Microsoft Office suite and other relevant software applications, with the ability to learn new systems quickly.
