Litton Andrews (Litton Associates Pty Ltd) – providing a Total Medical/Healthcare Recruitment and Consultancy Service with the best staffing, practice and business solutions.Our client is a leading provider of non-invasive vascular testing services, committed to the early detection and management of a wide range of vascular conditions including peripheral arterial disease, aortic aneurysm, cerebrovascular disease and stroke, deep vein thrombosis, and varicose veins.Established in 1994, the practice is proudly owned and operated by practicing vascular clinicians who are passionate about delivering high-quality patient-focused care. With 4 state-of-the-art diagnostic centres across Brisbane, they provide essential testing services to both inpatient and outpatient communities.An exciting opportunity has become available for an experienced Practice Manager to join this well-established and highly regarded group on a part time (hybrid) basis working 3 days a week or a 7 day fortnight (8am to 4pm each day).This pivotal role is responsible for ensuring the smooth and efficient operation of the medical imaging practice. Key responsibilities include overseeing front office and reception operations, managing and supporting 2 administrative staff, ensuring compliance with relevant healthcare regulations, handling elements of financial administration, and contributing to the strategic direction and ongoing operational success of the business.Key Duties and Responsibilities will include (but not limited to):
  • Oversee and support all reception duties including, greeting patients and ensuring a positive first impression
  • Managing patient bookings, providing information on time allocation, practice location, scan costs, and any required preparation
  • Liaising with hospital wards for inpatient bookings and with referring doctors
  • Preparing and receipting patient accounts
  • Coordinating the process of patient report generation and approvals by specialists
  • Dispatching approved reports to referring doctors via Medical Objects
  • Preparing and reconciling daily banking
  • Issuing and following up on monthly debtor’s accounts and recall letters
  • Recruitment and onboarding of reception staff
  • Coordination of ongoing staff training and development
  • Serving as the key point of contact for staff liaison and problem-solving
  • Providing support on practice procedures, hardware/software, and protocol issues
  • Developing and maintaining accurate staff rosters for payroll processing
  • Forwarding all practice-related invoices to the Bookkeeper
  • Conducting monthly reconciliation of accounts and financial records
  • Batching and submitting veterans’ claims
  • Maintain and update the Company Register
  • Ensure compliance with ASIC regulations
  • Monitor changes in Medicare/HIC rebates and adjust fees annually
  • Prepare and submit required documentation for Accreditation
  • Research and assess new software and technology to maintain competitive advantage
  • Prepare data and reports for Director meetings (held biannually) and attend to present updates
  • Manage incoming and outgoing correspondence, particularly via email
To ensure your success in this position you will have:
  • Strong leadership and team management skills
  • Excellent communication and interpersonal skills
  • High level of organisational and time management abilities
  • Ability to troubleshoot and solve operational problems
  • Proficiency in medical practice software and administrative systems
  • Understanding of private health fund billing, Medicare, Workcover and DVA
  • Knowledge of relevant compliance and regulatory requirements
Qualifications & Experience
  • Previous experience in a senior medical administration or practice management role (essential)
  • Experience managing reception and administration staff
  • Familiarity with medical billing systems and software platforms (any prior experience using Shexie Platinum software would be advantageous)
  • Accreditation and regulatory compliance experience preferred
Remuneration:An attractive hourly rate of $40 to $48 per hour + superannuation will be offered to a suitably experienced candidate. A hybrid working arrangement may also be considered, and some travel between practice sites across the Northside of Brisbane only may be required from time to time.
