- Oversee and support all reception duties including, greeting patients and ensuring a positive first impression
- Managing patient bookings, providing information on time allocation, practice location, scan costs, and any required preparation
- Liaising with hospital wards for inpatient bookings and with referring doctors
- Preparing and receipting patient accounts
- Coordinating the process of patient report generation and approvals by specialists
- Dispatching approved reports to referring doctors via Medical Objects
- Preparing and reconciling daily banking
- Issuing and following up on monthly debtor’s accounts and recall letters
- Recruitment and onboarding of reception staff
- Coordination of ongoing staff training and development
- Serving as the key point of contact for staff liaison and problem-solving
- Providing support on practice procedures, hardware/software, and protocol issues
- Developing and maintaining accurate staff rosters for payroll processing
- Forwarding all practice-related invoices to the Bookkeeper
- Conducting monthly reconciliation of accounts and financial records
- Batching and submitting veterans’ claims
- Maintain and update the Company Register
- Ensure compliance with ASIC regulations
- Monitor changes in Medicare/HIC rebates and adjust fees annually
- Prepare and submit required documentation for Accreditation
- Research and assess new software and technology to maintain competitive advantage
- Prepare data and reports for Director meetings (held biannually) and attend to present updates
- Manage incoming and outgoing correspondence, particularly via email
- Strong leadership and team management skills

- Ability to troubleshoot and solve operational problems
- Proficiency in medical practice software and administrative systems
- Understanding of private health fund billing, Medicare, Workcover and DVA
- Knowledge of relevant compliance and regulatory requirements
- Previous experience in a senior medical administration or practice management role (essential)
- Experience managing reception and administration staff
- Familiarity with medical billing systems and software platforms (any prior experience using Shexie Platinum software would be advantageous)
- Accreditation and regulatory compliance experience preferred
