Contract Administrator Classification: Full Time Location: Hybrid (occasional visit to office) Salary: TBC Position Summary: The Contract Administrator will support the Contract Manager and the Head of Commercial in overseeing the contractual lifecycle of BHS projects, ensuring effective implementation, compliance, and documentation of all contractual obligations. This role is critical in ensuring that the project team, subcontractors, and suppliers operate in alignment with contractual terms and internal procedures. The Contract Administrator will focus on contract execution, tracking, coordination, and compliance-not legal drafting or review. Essential Functions Contract Implementation Support: - Monitor and track contract milestones, deliverables, and obligations for internal teams and subcontractors. - Maintain and update contract execution trackers, logs, and status reports. - Organize kick-off meetings and follow-up sessions to ensure contractual requirements are clearly communicated to stakeholders. Coordination and Communication: - Serve as the liaison between the project team, subcontractors, and suppliers for contract-related communications. - Coordinate documentation flows between internal departments (e.g., engineering, procurement, finance) to support contract compliance. Compliance Monitoring - Ensure that project execution aligns with contractual timelines, insurance requirements, reporting obligations, and payment terms. - Assist in verifying subcontractor documentation, licenses, and insurance certificates. Document Management: - Maintain organized and up-to-date contract records, change orders, amendments, and notices. - Assist with preparation and formatting of contractual notices, correspondence, and reports as directed by the Head of Commercial and the Contract Manager. Change Management Support: - Track change orders, claims, and variations in coordination with the project manager and Head of Commercial and the Contract Manager. - Maintain a change order log and support in gathering supporting documentation. Project Close-out Support: - Assist with contractual close-out procedures, including warranty tracking, final deliverables, and documentation collection. ? General requirements: - Bachelor's degree in business administration, Engineering, or related field (legal education is a plus but not required). - 2-4 years of experience in contract administration, project coordination, or a similar role in the construction, automation, or BHS sector. - Strong organizational and communication skills. - Proficient in Microsoft Office (Excel, Word, Outlook) familiarity with contract management or ERP tools is a plus. - Detail-oriented, with the ability to work independently and manage multiple deadlines. - Understanding of basic contractual concepts and project workflows (no legal review required). - Experience working with subcontractors, vendors, or procurement teams preferred. - Italian language is a plus, but not mandatory. Language skills: - Italian language is a plus, but not mandatory. Supervisory Responsibility This position does not have supervisory responsibilities. Work Environment This job can be adequately performed remotely. This role routinely uses standard equipment such as laptop computers, cell phones, and email.
