
Executive Assistant - Communications

- Act as the primary point of contact for the Division, supporting senior executives with effective diary management, workflow coordination, and stakeholder engagement.
- Liaise with internal and external stakeholders to manage meetings, prepare agendas and briefings, and ensure timely follow-up on actions.
- Prepare high-quality communication materials, including executive presentations, talking points, internal updates, and strategic papers aligned with leadership priorities.
- Provide operational and administrative support such as managing approvals, coordinating documents, tracking deadlines, and handling travel and expenses.
- Support executive involvement in events and public announcements through briefing coordination, logistics planning, and stakeholder communication.
- Ensure compliance with departmental processes including version control, record-keeping, budget tracking, and communication standards.
- Minimum five years’ demonstrated experience in a fast-paced executive support role - ideally within government, media, communications, or corporate environments.
- Highly developed written and verbal communication skills, with a proven ability to tailor content to diverse audiences and platforms to ensure clarity, impact, and influence.
- Skilled in Microsoft Suite and other digital tools.
- Able to operate with a high degree of discretion, initiative, and agility in high-pressure, dynamic environments.
- Proven ability to work under limited direction, managing competing priorities effectively across both executive support and communication functions.
- A confident communicator with a keen eye for detail.
- Demonstrates resilience and a proactive, solutions-focused mindset, with the ability to manage shifting priorities and tight deadlines.
- Exercises sound judgement and maintains strict confidentiality while supporting senior executives in sensitive, high-pressure settings
- A collaborative team player who promotes inclusion, shared accountability, and positive engagement across teams and stakeholder groups.
- Desirable Qualification: Tertiary qualifications in communications, public relations, journalism, or a related discipline are highly regarded but not essential.
