- Provide professional customer service to a wide range of customers including residents, contractors and internal customers.
- Triage routine maintenance requests and fault reports, assign work orders and purchase requisitions to either the in-house services team or specialist trade contractors.
- Escalate non-routine and/or complex maintenance requests and fault reports to Parks & Open Space Officers to further investigate.
- Liaise with Council contractors, including receiving completion notices or requests for further information.
- Maintain accurate and up to date data in various systems and escalate follow up actions as required.
- Assist with procurement processes, including processing purchase orders and invoices.
- Assist with the administration of service contracts relating to reactive and proactive maintenance activities.
- Maintain a high level of confidentiality and discretion in the handling of a wide range of information.
- Post-secondary qualification in Administration or relevant office administration experience.
- Excellent knowledge of Windows based applications and databases to produce a wide range of documents.
- Well-developed customer service skills for face to face, telephone and email interactions.
- Understanding of relevant technology, procedures, processes and skills used within the context of administration support.
- Proficient application of standardised practices and procedures, compliance with requirements of Acts and Regulations and an understanding of the impact of precedents and previous decisions.
- Experience working in a multi-disciplined team to achieve set objectives, specifically in the field of maintenance.
- Current valid Victorian Driver’s Licence.
