The role:This pivotal Bids & Department Coordinator role in our Tenant Representation team drives the national business development strategy, acting as the primary point of contact for all bids, pitches, and submissions across Australia.You will be responsible for the end-to-end creation and project management of compelling creative content for presentations and proposals, ensuring all required touchpoints are expertly managed.The position also involves close collaboration with the marketing team to plan and coordinate divisional efforts, enhancing service line content for both internal and external communications.Additionally, you will provide essential administrative and departmental support to the Partner, Head of Tenant Representation, and the broader Tenant Representation team.Key responsibilities:
  • Lead the end-to-end project management and collation of all submission documents and pitch approaches, ensuring successful delivery.
  • Curate and create compelling creative content for pitches, presentations, and submissions, leveraging tools like Adobe InDesign and PowerPoint.
  • Drive and coordinate the divisional marketing plan in conjunction with the centralised marketing team, managing the annual marketing calendar and associated content.
  • Manage and continuously improve the content library, tools, and templates, ensuring a best-practice submission framework is in place.
  • Coordinate and run key national and NSW business development meetings, supporting content creation and strategy sessions.
  • Develop and distribute client-specific social media content and prepare market-worthy PR content for storytelling.
  • Provide confidential administrative and departmental support to the Partner, Head of Tenant Representation, including diary management and financial assistance.
Who are we looking for?
  • Advanced proficiency in Adobe InDesign (essential) and the Microsoft Office Suite (Word, Outlook, PowerPoint, Excel).
  • Demonstrated experience in bid and pitch management, including creating compelling content and materials.
  • Exceptional organizational skills with a proven ability to manage multi-layered projects, prioritise workflows, and meet tight deadlines under pressure.
  • Strong attention to detail and an advanced level of written communication, spelling, and grammar.
  • Excellent internal stakeholder management skills, with the ability to communicate effectively, influence at senior levels, and work collaboratively.
  • A proactive, flexible approach to work, demonstrating initiative, resilience, and the ability to adapt in a changing environment while working with minimum supervision.
  • A customer service focus, coupled with the capability to create and implement organized systems to ensure timely and accurate delivery of materials.
