An exciting opportunity to join the National Property Management Team at Ray White has become available. This is not just any role; it's your chance to play a key role in shaping the future of property management across Australia whilst transitioning away from the day-to-day property management tasks. Based in Brisbane City, you'll work closely with the National Operations Manager - PM, diving into the daily operations and administration that keeps our national PM team thriving across all states, and driving groundbreaking national initiatives. From the PM training program, weekly PM network newsletter, PM Pulse, to recognition initiatives, data analysis, reporting, marketing assets, CRM management via monday.com, and assisting with awards and recognition, you'll be at the forefront of excellence and innovation.The Ray White Group encompasses a collection of diverse yet interconnected businesses, united by a shared heritage that dates back to 1902.   • Property Management Training Program
  • Set up training Zoom sessions, attend sessions to monitor chats & allocate break-out rooms
  • Manage the training calendar on monday.com
  • Support the state team members who are presenting
  • Send out feedback forms and report on feedback to the team
  • Send out relevant communications before and after training sessions
  • Assistance with the delivery of face-to-face training at state-based events in organising venues, working with the events team
  • Manage the CRM via monday.com for the national PM team
  • Ensure all new offices are added, and closing offices removed and manage all workflows associated with office movements
  • Manage all other monday.com boards for the team
  • Property Management data and reporting
  • Send out monthly reporting emails and ongoing reminders to the PM network
  • Send outstanding reporting lists to the state PM team members to follow up
  • Ensure all new offices are set up for reporting and data integrations into our systems
  • Prepare partnership plan reports for state team members using the Looker database
  • Analyse monthly PM data for any errors and anomalies
  • Prepare reports for the National Operations manager each month and quarterly for internal stakeholders
  • Meeting coordination, notes and follow-up
  • Attend all project working group meetings
  • Attend fortnightly team meetings
  • Capture notes from all meetings, document action items in the monday.com boards for team meetings and all working groups
  • Work with the National Operations Manager to finalise meeting agendas each fortnight
  • Resource Hub management
  • Coordinate content from team members
  • Ensure content is reviewed 6 monthly
  • Upload new content
  • Diary management and arranging travel bookings
  • For National Operations Manager
  • For state team members for training and events
  • Property Management weekly newsletter (PM insider)
  • Manage the PM insider monday.com board
  • Follow up with team members for articles
  • Write articles and organise interviews with PM network members
  • PM Marketing
  • Organise all marketing briefs for the pm team to send to the national marketing team
  • Prepare/edit marketing materials in Canva
Who you are:
  • Minimum of 5 years experience in property management
  • Detail and process-oriented
  • Good time management
  • Strong organisational skills
  • Disciplined, well-presented and performance-oriented
  • Strong initiative, willingness to learn and implement new ideas
  • Marketing experience preferred but not required
  • Experience in the following systems is preferred but not essential:
  • Monday.com
  • Excel/ Google Sheets
  • Concepsend
