We’re seeking a highly organised and proactive Project Administrator to support the delivery of a large-scale engineering and construction project currently underway in Canberra. This is a full-time, 2-year fixed term opportunity for someone who thrives in a hands-on, fast-paced project environment and enjoys variety in their day-to-day work.Purpose of the RoleAs the Project Administrator, you will play a key role in the smooth operation of a small project team, providing critical support across administration, coordination, reporting, and logistics. Your day-to-day will involve a blend of office management, project support, stakeholder coordination, and records management. This position will initially be based at the Mitchell office, with the opportunity to move on-site as the project progresses.You’ll work closely with the project leadership team to keep documentation, meetings, communications, and team travel running seamlessly, ensuring key milestones and deliverables stay on track. The Project Administrator will have a broad scope across multiple areas of delivery, offering exposure to a range of internal and external stakeholders.   • Coordinate and schedule meetings, appointments, and events for the project team
  • Prepare high-quality reports, including monthly Board Reports and stakeholder updates
  • Maintain central records including contract change notices, time-lapse images, and project files
  • Liaise with other Territory-based administrative teams to ensure consistent documentation and communications
  • Support the successful handover of project phases by managing records and documentation
  • Arrange and update travel and accommodation for team members across various locations
  • Monitor and maintain office supplies, ensuring a functional and well-presented work environment
  • Assist with processing expense claims, tracking costs, and liaising with finance where required
About You
  • Demonstrated experience in an administrative or project support role
  • Excellent attention to detail, time management and communication skills
  • A proactive and flexible approach to problem-solving and task management
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to handle confidential information with discretion and professionalism
  • A collaborative team spirit with the confidence to work independently when required
  • A valid driver's licence is preferred
