Our client, a highly regarded private surgical practice, seeks to recruit an experienced Practice Manager to oversee daily operations for the rooms located within the medical prescient of Mitcham, situated close to Mitcham Hospital. The practice is long-standing and has enjoyed the support of a very conscientious Practice Manager.The role involves overseeing 3 medical secretaries who all work part-time. The Practice Manager will maintain a close working relationship with the surgeons; therefore they seek an individual who will utilise well-developed communication skills coupled with a hands-on approach to management and practice operations.Particulars of the position include:
  • Ability to build and maintain professional rapport with patients, hospital staff, medical equipment suppliers and all stakeholders of the business
  • A genuine commitment to excellence
  • Computer literacy – ideally Genie and Recon.
  • Demonstrate leadership capabilities, sound surgical specialist medical practice environment knowledge, outstanding communication skills, with the ability to work both collaboratively and autonomously within the business
  • Be professionally presented, deliver excellence in customer and stakeholder service
Practice Manager duties include:
  • Use of Recon accounting program
  • Payroll – fortnightly (Prepare and lodge STP).
  • Prepare Superannuation payments. & lodge with SBCH - fortnightly
  • Bill payments and reconciliation of all accounts.
  • Preparing rental invoices for doctors.
  • Prepare and lodge BAS and IAS returns.
  • Insurances
  • HR requirements
  • Organise individual staff meetings bi-monthly and quarterly group staff meetings. (minute taking)
  • Organise staff leave requirements and ensure coverage of absent staff is organised
  • General health and safety.
  • Organise maintenance of rooms
  • Ordering of stores & consumables
  • Organising confidential waste pickup
  • Liaise with IT regarding any computer IT issues.
  • Organise & purchase office equipment & stationery, staff requirements.
  • Manage Avant Practice Hub software, Argus address book.
Senior Medical Secretary duties include:
  • Use of Genie medical software
  • Manage Genie Diary/ Google diary
  • Front desk reception / handling general enquiries by phone, email, and postal mail.
  • Make appointment / Meet and Greet / Triage patient needs
  • Prepare patient invoices & receipts.
  • Arrange theatre bookings/finalising theatre lists.
  • Arrange Anaesthetists/Assistants when required.
  • Invoicing patient accounts, taking payments, daily reconciliation, and banking.
  • Recalls/reminders.
  • Bad debts.
  • Audio typing (occasional)
  • Cleaning and sterilising of instruments / Assisting with room clean up and restocking.
