Job DescriptionWe are searching for a Media Operations Specialist, on an initial 6 month contract, in our Sydney office.About the Role:We are seeking a senior, hands-on media operations professional to lead the collation and validation of campaign evidence, ensuring media activity is accurately represented, traceable to approved plans, and aligned with invoicing protocols. This role is deeply embedded within the media team, working in close partnership with operations and investment leads to ensure all activity is reflected correctly in the system — and that all media documentation is audit-ready.This role operates at the heart of media operations, requiring deep fluency in media planning and buying workflows, as well as an acute understanding of how campaign activity translates into financial documentation. The ideal candidate brings a sophisticated grasp of how media plans are constructed, adjusted, and executed — ensuring that what gets loaded into systems reflects the approved media plan exactly and meets all evidence and compliance standards. It is a role that bridges executional detail with strategic oversight, ensuring campaign integrity from plan to proof.You will be responsible for ensuring monthly evidence packages are complete, accurate, and aligned to media plans — all within tight deadlines. Success will hinge on your ability to spot inconsistencies early, coach teams on best practices, and build process discipline across stakeholders. You will bring clarity where there is ambiguity, and structure where it is needed most.Key Responsibilities:
  • Work closely with media planners and buyers to ensure all campaign activity is accurately loaded into the system in line with approved media plans.
  • Challenge inconsistencies or unclear evidence requirements, aligning final submissions with client requirements and audit-readiness standards.
  • Lead the collection, validation, and submission of required evidence to support client billing — including Certificates of Compliance (CoCs), supplier invoices, and supporting matrices.
  • Serve as the subject matter expert on evidence requirements and compliance standards, guiding the media team on what must be documented, how, and why.
  • Partner with offshore and onshore media and finance teams to manage timelines, share best practices, and ensure alignment on deliverables and quality expectations.
  • Review, identify, and challenge discrepancies between media plans, system entries, and submitted documentation, escalating and resolving issues before they delay invoicing.
  • Maintain and optimize tracking tools, such as invoice splitting matrices and campaign documentation logs, to support accurate and timely submission.
  • Develop and implement process improvements that reduce manual labour, increase accuracy, and improve the visibility of plan-to-evidence alignment.
  • Ensure all campaign data and supporting documents are submitted in line with EO closures.
  • Act as the operational bridge between media teams and finance, fostering accountability and driving better integration of media and commercial workflows.
Qualifications:
  • Minimum 5 years of experience in media operations, finance, or account management, with a deep understanding of both traditional and digital media workflows.
  • Proven experience working with complex, global clients and navigating intricate media ecosystems, with the ability to quickly absorb and operate within brand-specific processes and governance structures.
  • Experience managing offshore or distributed teams, with strong communication and coordination skills.
  • Demonstrated expertise in handling media documentation, activity logging, and compliance-driven processes.
  • Advanced Excel skills and confidence managing complex trackers and reconciliation matrices.
  • High attention to detail and strong organizational skills, with the ability to prioritize effectively and thrive under pressure.
  • Problem-solving mindset with the ability to identify operational inefficiencies and propose actionable solutions.
  • Strong interpersonal and communication skills, capable of guiding media teams, influencing without authority, and challenging the status quo constructively.
