- Oversee corporate records management and statutory filings for multiple entities, including handling entity set-ups, wind-ups, and trust or joint venture administration.
- Support annual compliance activities such as business name renewals, trademark registrations, payments, and adherence to regulatory requirements.
- Prepare and file resolutions for structural or governance changes and provide support for transactions involving joint ventures and trusts.
- Coordinate quarterly governance meetings, including preparing and distributing papers, maintaining the digital board portal, and assisting with minute-taking.
- Contribute to the development and maintenance of governance frameworks, including policies, templates, and document management systems.
- Manage financial administration tasks such as processing bank guarantees, handling purchase orders, and liaising with vendors for account queries.
- Administer electronic document approvals through platforms like DocuSign for resolutions and project documentation.
- Provide general administrative support to governance and legal teams, including document preparation, mailbox oversight, and calendar coordination.
- 4+ years’ experience as an Assistant Company Secretary or Governance Officer.
- Advanced software proficiency utilising Microsoft suite of tools: Advanced Outlook, Word and PowerPoint skills, Intermediate Excel skills.
- Excellent interpersonal and communication skills with the ability to build professional relationships at all levels.
- Experience using DocuSign, BoardVantage, GEMS and SAP highly regarded
- Certificate in corporate governance from the Governance Institute of Australia
- Degree qualified in Law, Economics and/or Accounting or equivalent.
