Our client is currently seeking a professional Executive Assistant with C-Suite Level experience to join their team in Parramatta with the opportunity to work from home up to 2 days per week. This is an estimated 3month temporary assignment with a strong potential to extend.As an Executive Assistant, you will be responsible for delivering a wide range of secretarial, business and executive support to the Executive General Manager, Customer & Corporate Affairs and their respective team.Responsibilities
- Act as first point of contact on behalf of the Executive General Manager, Customer and Corporate Affairs
- Screen, triage, analyse and prioritise enquiries to facilitate the optimal use of the Executive General Managers time
- Provide a wide range of administration, business and secretarial support to the Customer and Corporate Affairs team
- Complete diary and travel management
- Scheduling and coordinating meetings
- Prepare, coordinate and distribute high level documentation including requests for advice, briefs, board and committee papers, meeting minutes, agenda’s, action items, correspondence, reports and presentation material
- Gather and collate information to support informed decision-making outcomes
- Manage, sort and distribute incoming and outgoing mail
- Manage and maintain office equipment and stationery
- Manage and process invoices, petty cash and other financial administrative duties
- Work collaboratively with a wide range of stakeholders to facilitate engagement and contribution of ideas
- Records and database management ensuring high integrity, accuracy and confidentiality
- Assist with Human Resources duties including onboarding/offboarding, site and equipment access
- Contribute to development and implementation of innovative improvement strategies to mitigate risk
- Ensure compliance with Departmental policies and procedures
- Proven Executive Assistant experience
- Demonstrated experience supporting a C-Suite Level
- Previous experience within Property, Construction or Corporate Affairs Sectors highly regarded
- Corporate and Government Sector experience highly desirable
- Impeccable communication skills, both verbal and written
- Superior organisational skills with ability to multi-task and prioritise conflicting deadlines
- Takes initiative, with the ability to work independently and as part of a team
- High attention to detail
- Strong computer literacy skills and proficiency with Objective and MS office Suite
- Flexible to work in their Parramatta Office Tuesday’s, Wednesday’s and Thursday’s
- Willingness to undergo a National Police Check
- Ability to commence and commit to the duration of the assignment
