
Administration Coordinator

- Roving across multiple locations to provide administrative support within Hall & Prior facilities.
- Provide onsite leave coverage for administration officers to ensure continuous administrative support at each facility.
- Assist with updating, coordinating, and distributing staff rosters (fortnightly).
- Enter invoices for payment, ensuring accurate and timely processing.
- Help manage staff timesheets and entries for payroll accuracy.
- Oversee the distribution and management of staff uniforms and badges.
- Assist in maintaining employee records and arranging cover for staff absences.
- Deliver exceptional customer service to staff, residents, and visitors.
- Train new facility administration officers, ensuring they have the knowledge and tools to succeed.
- Provide ongoing support to all administration staff, both onsite and remotely, ensuring consistency and high standards across all facilities.
- Assist with internal administration audits, ensuring compliance with procedures and identifying areas for improvement.
- Contribute to the development and updating of administration processes, helping to streamline operations and improve efficiency.
- Provide occasional regional support for facilities that may require additional administrative assistance.
- A minimum of one year’s experience in administrative support (experience in the Aged or Disability Care sector is highly advantageous).
- Experience in a similar role with the ability to manage multiple worksites or perform roving duties (desirable).
- Strong verbal, numerical, and written communication skills.
- Proficiency in Microsoft Word, Excel, and Outlook (medium to advanced level).
- Experience with invoice entry and processing, ensuring accuracy and timely payment.
- Previous experience assisting with rostering, payroll support, and general administrative tasks.
- A demonstrated ability to train and mentor new staff, and provide ongoing support to teams both onsite and remotely.
- Strong organisational skills and the ability to multi-task effectively.
- A proactive attitude, with the ability to take initiative and adapt to new challenges every day.
- Evidence of influenza vaccination.
